SUMMARY OF RESPONSIBILITIES:

Maintain a solid working knowledge of all Client Accounts assigned. Serve as the main point of contact for new payroll requests for designated clients, MSP partners and the employees.  Primarily responsible for processing payroll requests and completing all screenings and onboarding requirements for Clients/ MSP programs according to contracts/SLAs or AllSource SOP to ensure meeting targeted start dates.  Provide timely status updates on candidate progress to Client End User/MSP; escalate and address challenges and roadblocks, identify and respond quickly with solutions to address any issues or concerns.  Provide assistance and direction to AllSource client referred employees with the on-boarding process including assignment confirmation and start date details, accurate time submittal instructions per timekeeping methods, and all client specific orientation material and documents.  Develop and maintain client and employee relationships to ensure retention. Contribute to the professional standing of AllSourcePPS as a payroll processing solution service by providing clients and employees with outstanding customer service and results; continually meet the needs of clients and employees.

DESCRIPTION OF ESSENTIAL DUTIES AND FUNCTIONS (each duty and function listed indicates % of time):

  • Collect and ensure completion of all AllSource required documents, accurate State and local tax forms being mindful of reciprocity, and I9 forms in accordance with Federal laws - 100% 
  • Analyze and adjudicate criminal background, employment/educations verifications, and drug screen results to determine eligibility of employment by AllSource; ensure completion and adherence to all client/MSP screening components and work eligibility - 100%
  • Through the course of all onboarding activities, ascertain and alert appropriate individuals of any learned or perceived situations that could jeopardize the health, safety, and welfare of AllSource, Client, and/or employees or result in litigation exposure - 100%
  • Ensure that E-verify is completed in accordance with E-verify/AllSource policy - 100%
  • Manage and meet multiple critical deadlines on deliverables to both clients and Internal teams - 100%
  • Maintain accurate client and employee records including OA documentation. Ensure data integrity relating to all systems and databases impacted by each assigned account - 100%
  • Serve as liaison to client/MSP and adhere to relevant terms of the contract; all pre- hire screenings (i.e., background, drug) bill rates, mark-up, client specific documents, work rules or policies, VMS uploads, etc. Conduct routine audits to ensure compliance - 100%
  • Appropriately coach and counsel employees regarding performance, attendance issues when required - 100%
  • Provide exceptional customer service and a sense of urgency toward client and employee need by responding quickly to address client and employee questions, issues, and concerns - 100%
  • Develop a consultative approach to build partner relationships and assist Client/MSP team and/or HR with investigating, addressing, and resolving end of assignment requests, employee complaints, conflicts, and other HR related problems - 100%
  • Utilize secure email and links to send and receive sensitive data, forms, and information to ensure privacy - 100%
  • Assist in developing strategies and organizational support for process improvements; including but not limited to the establishing of priorities, objectives, metrics, policies, and procedures - 100%

  • With a consideration for any deadlines, complete special projects as assigned and assist colleagues as needed - 100%
  • Maintain accurate and up-to-date Tracker/Census and Summary/Training Guides for each Client - 100%
  • Maintain an up-to-date file for each Client within Sharepoint with any high-level program details such executed contract(s), amendment(s), setup or flow-down documents, or significant emails that go over any change in process or Vendor expectations for the program or in how AllSource supports its workers - 100%
  • Identify and prep Client coverage in the event of your absence (or the absence of another) by keeping updated records, having, and providing up-to-date training to your colleagues along with a notice to MSP/Client teams and internal team, having an automatic email notification setup and updated voicemail for any/all absences - 100%

REQUIRED QUALIFICATIONS:

  • Must be software and technology inclined
  • Strong understanding of complete MS Office – Specifically MS Excel (general formula understanding; pivot tables, v-lookups helpful)
  • Written & verbal communication skills
  • Ability to maintain high level of confidentiality due to exposure of sensitive data
  • Must be able to work efficiently under pressure, while maintaining high levels of accuracy to meet tight deadlines.
  • Ability to interface with all levels of management
  • Detail Oriented and able to work independently with minimal supervision

LANGUAGE/COMMUNICATION SKILLS (written & verbal):

  • Must have the ability to communicate clearly and concisely in a courteous and professional manner in person, via telephone, or email. 

COMPUTER/SYSTEM SKILLS REQUIREMENTS:   

  • Good working knowledge in MS Word; Internet, and Outlook.  Proficient in Excel is preferred.   Must have the ability to learn and become proficient in multiple VMS tools including all Act 1 and Agile 1 Technology.

SKILLS REQUIREMENTS:

  • Prior staffing support experience highly desirable.
  • Demonstrated and strong experience working in a positive manner with people from all walks of life. 
  • The ability to establish rapport quickly via the phone and email.  
  • Ability to calculate figures and amounts such as mark-up percentages, bill rates, discounts, interest percentages, etc.
  • Must possess working knowledge of MS Excel.
  • Ability to solve practical problems and deal with a variety of concrete variables where only limited standardization exists.
